The Planning & Admin Supervisor manages the day-to-day administration, planning of the field operations and oversees the daily management of attendance processing in regards to the manning of security guards for the smooth running of the Manned Security Operations.  

 

Main Duties:

  • Oversee the planning for security guards, taking into consideration the planning rules.
  • Ensure posting of guards is prepared as per contractual requirement while respecting geographical region, resource pool and client priority list.
  • Ensure accuracy in daily attendance capture.
  • Ensure all anomalies observed are escalated to the management
  • In case of emergencies work along the duty leader and take appropriate actions (sick employee, injury, fire on site)
  • Prepare a relocation plan along with field leader for any new or cancellation of service.
  • Ensure proper and accurate communication to HR team in cases of long absences, breach of contract, long sick, etc.
  • Manages the relationship with external service providers such as dog handling and transport
  • Manages the transport and works toward route optimization with the service providers in view of optimizing cost and improvement quality of life of employees.
  • Work in collaboration with other department to ensure smooth running of operations
  • Act as liaison officer to internal and external stakeholders.
  • Maintain and prepare credit notes details to be approved by the management and communicate to the Finance department
  • Handle general administration of the department.
  • Establish a secure and fluent line of communication between the field and the admin team.
  • Prepare the training plan for the admin team and support the training deployment of field teams.
  • Work in accordance to the criteria established to achieve the targets and uphold the department’s KPIs.
  • Maintain the KPIs of the department as per required by the management – prepare analysis, reports and other information which may be required
  • Participate to the strategic development of the development
  • Be part of the different projects in view of improvement process, tools and the activities of the department

 

Knowledge & Experience:

  • Degree in Management
  • Experience in team management
  • Experience in security field is preferred but not compulsory
  • Proven experience in logistics management of at least 3 years
  • Computer Literate – Intermediate user of Microsoft Office Tools – Advanced for Excel
  • Holder of a Valid Certificate of Character
  • High sense of ethics and integrity
  • LEAN Management is preferred
